Criteria A: Investigate
 Brainstorm of 3 different clients:

  1. A restaurant named "Like View," located near JVC
  2. A clinic named "Medi Link," located near Arabian Ranches
  3. An ice cream shop
Mr. Jack has explained his problems in our first meeting. He stated that as his clinic, Medi Link, is growing and are getting more customers, the organization of his medical data is more vital. He has realized that when using paperwork, it takes time to look for data when needed on the spot. Also, there are large amount of paperwork hence he needs space for storage and there is risk of the data to be inaccurate and with Microsoft Excel, calculations are automatically made. Therefore, he approached me to discuss solutions. He needs a software that can collate and analyze information quickly and effectively. He needs a spreadsheet that shows him the amount of profit he is making for each product and a spreadsheet of clients. The last spreadsheet would be on the staff.

Restaurant:
Advantages
·      An advantage of taking up “Like View” as my client is that I personally know the manager
·      I have some knowledge of the business
Disadvantage
·      The location is inconvenient as it is far away from where I live
·      For now, the restaurant is running efficiently and is organized

Clinic:
Advantages
·      I am interested in the medical area
·      There is so much data I can sort out as the clinic just opened last year
·      I personally know the manager
·      The location is close to where I live
Disadvantage
·      Huge amount of information to include therefore it may take a long time to complete.

Ice cream shop:
Advantages
·      I personally know the manager
·      I have some knowledge about the business
Disadvantage
·      Location is quite far

The manager of the clinic located in Arabian Ranches has approached me for help regarding storing, calculating, processing, analyzing and producing outputs using their data. My customer would like me to organize his medical data in software, preferably Microsoft Excel. The manager, Mr. Jack, has asked me to create a data sheet where he could easily read his medicine file and acknowledge the quantity of how much stock he has and so on.

Below will be a brainstorm on what the Excel Sheet regarding the medical data consists of:
·      The time required for a delivery of product.
·      Profit
·      Aisle number of product
·      The name of product
·      Quantity of Product
·      Description of Product
·      Price per delivery of product
·      Retail price of product
·      Expiry date
·      Date of manufacture
·      ID number of manufacturer.

Below will be a brainstorm on what the Excel Sheet regarding the client data consists of:
·      Client name
·      Gender
·      Age
·      ID number
·      Regular member

Below will be a brainstorm on what the Excel Sheet regarding the staff data consists of:
·      Staff name
·      Gender
·      Age
·      ID number
·      Education awards/university name
·      Which days the staff comes in to work
·      Occupation in the clinic

To provide Mr. Jack support with organizing his medical data, I would need to do a few things before I get started. Firstly, I would need to experiment with Microsoft Excel in order to improve on basic knowledge of the software. I would then need to gather all his medical data and start to think of how I would organize the data in the software. This will require a few designs. Lastly, I will start creating the Excel sheets for Mr. Jack. Overall, the time required to finish this project would take around 6 weeks to complete.

The picture above is a basic diagram of the layout of Microsoft Excel

Microsoft Excel is an electronic spreadsheet program, which can be used for multiple reasons such as storing, manipulating and organizing data (1). This software can provide Mr. Jack with what he needed and more. Microsoft Excel is most commonly used in companies, banks and so on. Businesses use Excel for multiple reasons such as forming basic employee and resource schedule, which could be color-coded and designed to immediately update when schedules change. This is useful for businesses as it organizes the employee’s day, therefore time can be used more efficiently and more work can be produced.  Another reason why businesses uses Excel is that you can design a spreadsheet to compare and track product sales on a daily, weekly, monthly or quarterly basis. Excel also helps identify trends and you can create charts and graphs over time to compare business income and expenditures. (2)

Interview with Jack Harper, recorded on 04/09/2014:
What is the problem?
The problem with my clinic is that all data is recorded with paper therefore it is difficult for my pharmacists to find the information they require quickly. This wastes their time thus making this system inefficient.
So, you are looking for something that organizes your medical data?
Yes, but not only my medical data, also include my customer and staff data.
Sure. Of-course. I suggest using Microsoft Excel or maybe Microsoft Access. However, I strongly recommend Microsoft Excel as you are asking for something more specific and using Microsoft Access is for more general data.
That sounds good. When do you think this Excel Sheet will be completed by?
By 1st December.
Great, thank you for coming.
No problem.
